Overview

Access control systems give your customers the ability to unlock doors in your Location autonomously, without requiring staff to be present. When integrated with Nexudus, these systems automatically manage who can access which areas based on their active subscriptions, desk rentals, or resource bookings.

Why Access Control Matters

Access control systems solve three critical operational challenges:

Extended Hours Access

Customers can access your space 24/7, even when your staff isn’t physically present. This unlocks revenue opportunities from members who need off-hours access and improves the member experience.

Enhanced Security

Only customers with valid Plans or resource bookings can unlock relevant doors. Access is automatically revoked when memberships expire, eliminating the need for manual key management or access card recalls.

Accurate Occupancy Tracking

When customers unlock doors, they’re automatically checked in to your Location. This provides real-time occupancy data for resources, desks, and offices—improving your understanding of space utilization.

Pay-as-You-Go Revenue Stream

Combining occupancy tracking with pay-as-you-go passes unlocks an additional revenue stream for your Location. When customers run out of access passes, Nexudus can automatically sell them new passes as they attempt to access the building. This ensures seamless entry for customers while generating incremental revenue for your business. Key benefits include:

How Access Control Works

Access control systems operate through a simple workflow:
  1. Access Groups — You create logical groups of doors in your access control system (for example, “Conference Rooms” or “Executive Lounge”)
  2. Link to Nexudus Items — You link these access groups to Nexudus Plans, Time credits, desk rentals, or resource bookings
  3. Automatic Provisioning — When a customer gets one of these items (by purchasing a Plan or booking a resource), they’re automatically added to the corresponding access group in your access control system
  4. Member Unlocks Door — Your customer uses their preferred access method to unlock doors they’re authorized for
  5. Access Revoked — When their Plan expires or their booking ends, they’re automatically removed from the access group and can no longer unlock those doors

Choosing an Access Control Provider

When selecting an access control provider, consider these factors:
  • Budget — Determine how much you’re willing to spend on both Nexudus integration fees and the provider’s own pricing
  • Access Methods — Choose a provider that supports how your members prefer to unlock doors (mobile app, cards, etc.)
  • Occupancy Tracking — If real-time occupancy data is important, select a provider with check-in/check-out support
  • Visitor Management — If you host visitors, ensure your provider supports visitor access
  • Infrastructure — Decide whether you prefer cloud-based (no hardware) or on-premise solutions
  • Scale — Consider whether the provider supports all the Nexudus items you plan to use (some have limitations)
  • Integration Depth — If you want members to use the Passport App, verify Passport integration is available
We recommend contacting each provider directly to discuss your Location’s specific needs before making a decision. Each provider has different pricing models and requirements depending on the size of your Location.

Key Behaviors and Constraints

Automatic Access Provisioning

Access is granted immediately when a customer:
  • Purchases an active Plan linked to an access group
  • Books a resource linked to an access group
  • Rents a desk linked to an access group
  • Receives time credits linked to an access group

Automatic Access Revocation

Access is automatically removed when:
  • A Plan expires or is cancelled
  • A desk rental ends
  • A resource booking is completed
  • Time credits expire
Ensure your access control provider can sync with Nexudus frequently to catch expiration events quickly. Some providers sync in real-time, while others may have delays.

Multiple Access Methods

A single member can unlock doors using different methods depending on what’s available:
  • Card readers at physical doors
  • Mobile app (if supported)
  • Credentials or temporary codes
  • Visitor invitations
The method used doesn’t affect when access is granted or revoked — only the access group assignment matters.

Visitor Access

Some providers support temporary visitor access. When enabled, your staff can issue time-limited access to guests without permanent credentials.
